Privacy policy

Last updated November 1, 2026

This policy explains what information RingHelm ("RingHelm", "we", "us") handles when you visit ringhelm.com, join early access or use our service, and what choices you have. Questions go to privacy@ringhelm.com.

Information we collect

  • Contact details you send us, such as your name, email address and business details, when you request early access or write to us.
  • Call and message content on lines and channels you connect: caller phone number, call recordings where announced, transcripts, chat and email messages, and the summaries and tickets created from them.
  • Store and calendar data you authorize: order status, tracking and policy text from your store, and open times from your calendar.
  • Basic technical data from visits to this website, such as request logs kept by our hosting provider for security.

How we use information

  • To provide the service you have connected, as described on our home page.
  • To answer calls and messages for the business that connected the line, create tickets and summaries, and carry out actions that business's rules allow.
  • To respond to you, invite you to the service and keep it secure.

We do not sell personal information, we do not use one customer's data for another customer, and we do not use your data to train general purpose AI models.

Callers

If you called a business that uses RingHelm, that business decides how your information is used; RingHelm processes it on the business's behalf. Calls open with a statement that you are speaking with an AI assistant and, where required, that the call may be recorded.

Sharing

We share information only with infrastructure and communications providers that process it on our behalf under confidentiality obligations, with the platforms you connect when you ask us to act on them, and when required by law.

Retention

We keep connected account data for as long as the connection is active and delete it within 30 days after you disconnect, unless the law requires us to keep it longer. Early access requests are kept until launch or until you ask us to delete them.

Security

Access tokens and credentials are stored in an encrypted secrets manager, never in application code or logs. Access to customer data is limited to the systems that need it.

Your choices

You can disconnect any account at any time and ask us to access, correct or delete your information by writing to privacy@ringhelm.com. See Data deletion.

Changes

If we change this policy we will update the date above and, for material changes, tell users by email.
